How to prepare a Vietnam sourcing brief

A useful sourcing brief helps explain what you want to buy and where you need local support. Start with enough information to discuss the project. Prepare the detailed product requirements separately so potential factories can later quote against the same request.

Start with a general inquiry

Your first message should describe the product, estimated quantity, delivery country, and preferred timing. Add your budget and currency if available, and say whether you need factory search, supplier communication, samples, or visit support.

Keep the hosted inquiry form general. Do not send confidential specifications, customer information, or payment details through it. Discuss an appropriate private channel and any necessary confidentiality arrangements before sharing sensitive product files.

  • Describe the product in everyday language without confidential design details.
  • Separate the expected first order from possible future orders.
  • Mark undecided requirements as open questions rather than guessing.
  • Explain whether you already have a supplier or reference sample.

Prepare a detailed RFQ for comparable replies

RFQ means request for quotation: a request asking a supplier to price a defined product and quantity. A photo can explain appearance, but a detailed quote may also need dimensions, materials, finishes, packaging, and performance requirements.

Once the scope and sharing arrangements are agreed, prepare a specification sheet. Identify which details are essential and which alternatives you would consider. Ask factories to identify deviations instead of silently substituting materials or dimensions.

  • State dimensions and units consistently, with acceptable tolerances where relevant.
  • Specify materials, finish, variants, and the quantity for each variant.
  • Describe individual packaging, outer cartons, and any labeling needs.
  • Identify reference files by name, revision, and date.

Clarify quantities, samples, and timing

MOQ means minimum order quantity: the smallest quantity a supplier will accept. Ask whether it applies to the whole order, each item, or each color or size. Request pricing at the quantities you can realistically buy.

Ask what sample is proposed, what it will show, and which charges or revisions are included. Separate sample approval, production, and shipment timing. Ask what starts each stage and which buyer decisions are needed before work can continue.

When a requirement changes, issue an updated specification and ask which price or timing assumptions change with it. Keep the latest version easy to identify.
